It can seem like there are lots of rules for working in our team. It’s easy to miss a step or forget a process. This page is here to send to others when they forget, so that they can get back on track.

If someone sends you this page, remember that the person sending you this means well. They aren’t calling you out or trying to make you feel dumb. Our Asana processes work best when everyone is working off the same page, and this is just a helping hand to make life easier for everyone.

Common Gotchas

A predictable task is added after the planning meeting.

We all spend time meticulously curating our sprint board so we stay under our magic number of points. If you add a task after that, you’re throwing out that work and saying that your task is more important or urgent than the other work that is planned.

Sometimes the new task was unpredictable and urgent. That’s totally fine - go ahead and add it as mark it as unplanned. A response to an editor that they only gave you 48 hours for? Of course I’ll read it. An issue with a participant? Of course we’ll help. But a draft you knew you were completing this week? Sorry - it should have been in the planning meeting.

You missed a key detail in the task

When do you need this done by? What’s the action I need to to take? How long will this take? Where do I find the document I’m meant to be reviewing?

The easier you make the task for someone else to do, the more likely it is to get done quickly.
